We only collect information that is needed to run the service.
- When clubs contact us:
Names, email addresses, and basic club details submitted through our forms. - When clubs use Affinet:
Information about clubs and reciprocal arrangements, such as contact details and website links. - Letters of introduction (if used):
Member name and membership validity, so a letter can be issued and verified. - Technical information:
Basic website logs (such as IP address and browser type) to keep the service secure and reliable.
What we use this information for
- To respond to enquiries and onboard clubs
- To keep reciprocal listings accurate and usable
- To issue and check letters of introduction where enabled
- To keep the service running securely
We do not use personal data for advertising, profiling, or unrelated marketing.
Who we share information with
We do not sell personal data.
Information is shared only where necessary to operate the service — for example, allowing a receiving club to verify a letter of introduction.
How long we keep information
We keep information only for as long as it is needed to operate the service.
- Club contact details are kept while a club is using Affinet
- Letter and member information is stored in encrypted format. It expires automatically and is not kept longer than necessary
- Technical logs are kept for a limited time for security and maintenance
Your choices
You can ask us to:
- Explain what information we hold about you
- Correct information that is wrong or out of date
- Remove your information where it is no longer needed
