Outgoing requests¶
The Outgoing requests tab is part of Letters of Introduction in the Affinet dashboard. It shows two lists: requests waiting for your approval (letter or visit requests from your members) and letters you have already issued that are still current.
Where to find it¶
- Open the Affinet dashboard.
- Click Letters of Introduction in the dashboard navigation.
- Click the Outgoing requests tab in the left sidebar.
What you see¶
Pending requests (top section)¶
Requests that need your action. Each row is either a Letter Request or a Visit Request from one of your members who wants to visit another club.
Columns include:
- Type – Letter Request or Visit Request
- Member – member name
- Email – member email
- Membership ID
- Visit Start Date / Visit End Date – when they plan to visit
- Visiting Club – the club they want to visit
- Requested – when the request was made
- Actions – Approve and Reject
To approve: Click Approve, complete any modal (e.g. add notes or confirm), then send. The member will receive their letter or visit confirmation.
To reject: Click Reject, add a reason if prompted, and confirm. The member will be notified that the request was declined.
Outgoing requests (current)¶
Letters of introduction you have already issued that are still valid. Use this list to see what’s active and to get PDFs, wallet passes, or QR codes.
Columns include:
- Letter Code – unique code for the letter
- Member Name
- Visited Club – club the letter was issued for
- Membership Valid To
- Visit Start Date / Visit End Date
- Status
- Actions – PDF, Wallet, QR, Revoke
PDF – open or download the letter as a PDF.
Wallet – get a link to add the letter to Apple Wallet (or equivalent).
QR – open or share a QR code for the letter.
Revoke – cancel the letter so it can no longer be used. Use this if the visit is cancelled or the letter should no longer be valid.
Tip
Revoke letters as soon as they are no longer needed so they cannot be misused.
Approving via email (magic link)¶
When one of your members requests a Letter of Introduction (or a visit arrangement), you receive an email with a magic link. Clicking the link opens the request in your browser so you can approve or reject without logging in. You see the same member details, visit dates, and destination club as in the dashboard; you can add notes, confirm visit date and membership end date, then approve or reject. The outcome is the same as using Approve or Reject in the Outgoing requests tab.
The link expires after 7 days and can be used only once (after you approve or reject, the link no longer works). If the link has expired or you prefer to use the dashboard, go to Letters of Introduction → Outgoing requests and act on the request there while logged in.
Tip
Use the magic link when you are not in the dashboard—for example, when you receive the email on your phone or in a different browser. Use the dashboard when you are already signed in and managing several requests.
