Calendar

The Calendar tab is part of Letters of Introduction in the Affinet dashboard. It shows upcoming visits to your club. You can switch between a calendar view and a list view, and add manual entries for visitors who are not in the system (e.g. from non-Affinet clubs). It's a great way of keeping track of guests and extending a warm welcome.

Where to find it

  1. Open the Affinet dashboard.
  2. Click Letters of Introduction in the dashboard navigation.
  3. Click the Calendar tab in the left sidebar.

The calendar or list may take a moment to load. If there are no upcoming visits, you'll see a message and an option to add a manual entry.

Views

Calendar View

A month (or similar) calendar with visits shown on their dates. Use it to see at a glance when visitors are expected.

  • Switch to Calendar View with the Calendar View button if you're on List View.
  • The calendar loads after the visit data is fetched.
  • Click any calendar entry to open a popup with details: member name, home club, visit date(s), letter code (if applicable), and any notes (e.g. home club note or manual entry notes).

List View

A table of upcoming visits. Columns include:

  • Visit Date
  • Member Name
  • Home Club
  • Visit End Date
  • Notes – any note for the visit (e.g. from the home club or added when creating a manual entry)

Switch to List View with the List View button when you prefer a simple list to the calendar.

Upcoming visits only (past visits and privacy)

Only today and future visits appear on the calendar and in the subscribe feed. Past visits are anonymised as a matter of privacy, so they do not appear on calendars. You cannot navigate to past months in the calendar view. The anonymised data is still used so your club can get Letters of Introduction statistics (e.g. volume and usage).

Add Manual Entry

Use Add Manual Entry when the visitor is not coming through the normal letter/visit request flow—for example a member of a club that is not on Affinet.

  1. Click Add Manual Entry (or "Add Manual Entry" next to the Calendar heading).
  2. Fill in:
  3. Member Name (required)
  4. Home Club (required) – start typing to search and select the club
  5. Visit Date (required)
  6. Visit End Date if applicable
  7. Notes (optional) – any note about the visit (e.g. purpose of visit, special requests)
  8. Save the entry.

The visit will appear in both Calendar View and List View.

Tip

Manual entries help you keep one place for all upcoming visits, even when some visitors are not in the Letters of Introduction system.

Subscribe to this calendar

At the bottom of the Calendar tab you'll see a subscribe URL. This URL is personal to you and is only shown when you're logged in.

  1. Click Copy next to the URL to copy it.
  2. In your calendar app (Google Calendar, Outlook, Apple Calendar, etc.), add a calendar by URL or Subscribe to calendar and paste the URL.
  3. Your calendar app will show the same upcoming visits and keep them in sync. You do not need to log in from the calendar app—the URL itself is the subscription.

Tip

The feed updates when your calendar app refreshes. If you don't see new visits right away, refresh or wait for your app's next sync.

  • Incoming requests – coordinate and respond to visit arrangements from other clubs.
  • Outgoing requests – see letters you've issued and their visit dates.
